How to plan a hybrid conference room setup

The definition of an ideal conference room setup has changed with hybrid working. In the past, the challenge was to find cameras that could fully capture the meeting room table and microphones that could clearly pick up the voice of anyone in the room. The good news is that today’s cameras have wide fields of view and microphones have excellent range and include advanced features, such as background noise cancellation.

However, companies today want more. They have achieved a fantastic experience for home office video users and want to bring meeting room participants to the same level. Businesses and users want true meeting equity, which can be expensive or complicated for most hybrid meeting spaces.

By understanding what constitutes an ideal hybrid conference room setup, companies can bring meetings closer to equity. To do this, companies must assess the following five factors:

  1. incoming video
  2. outgoing video
  3. incoming audio
  4. outgoing audio
  5. discuss

Let’s look at the office meeting experience for these factors and what can be done to make the meeting room experience almost as good.

1. Incoming video

When attending a meeting virtually from their home office, participants are typically seated directly in front of their screen. In a conference room, participants may have to crane their necks to one side or the other to see a monitor hanging on the wall.

In an ideal hybrid conference room, there would be monitors on each wall so everyone in the room could look directly ahead to see remote participants. However, this could be a complex and expensive investment for most meeting rooms, so the next best step would be to position the monitor with meeting participants in mind.

For example, the monitor can be placed on a wall parallel to the side of a conference table, rather than at the very end of the table. This allows participants in the room to face the same direction towards the camera and the monitor without having to look around. Remote participants also have a better view of who is in the room.

2. Outgoing video

Meeting participants calling in from their home office on desktop video tend to be perfectly framed, like a newscaster. A meeting room camera, on the other hand, captures the entire room. Instead of the participants in the room having their own perfect frame, they all share a single camera. The result is that each person is small and difficult to see.

Meeting participants in the conference room are not present as remote team members connecting from their home office. This is usually the most discussed aspect of meeting fairness. Video hardware and service providers are working to solve this problem through a variety of approaches. Some use voice or face tracking to zoom in on the active speaker, while others break up the larger image of the room into smaller images of each participant. The market has yet to decide the best approach, so IT teams should test a few options and see what works best for their meetings.

3. Incoming Audio

Participants in remote meetings typically use headsets or their computer’s audio system for meetings. Hearing the other side of a video call is rarely a problem in home offices. In a conference room, audio can be much more complex. Headsets are not an option, so IT teams should ensure video systems include a high-quality speaker system. If the room is large enough to require it, external speaker modules should be considered.

4. Outgoing Audio

Headset microphones and desktop microphones both have the same advantage. The speaker’s mouth is usually a few centimeters from the microphone, which makes it much easier to pick up the sound cleanly. In a meeting room, we don’t like wearing headsets, and it’s expensive and inconvenient to have a table microphone at every seat.

Fortunately, today’s video systems have microphones with excellent sound pickup. The current generation of video bars and video conferencing audio systems can pick up every speaker at an acceptable level of quality, even in a small to medium conference room. For larger rooms, external microphone modules or more advanced beamforming array microphones are recommended.

5. Chat

Chat can be a huge productivity tool in meetings. While the meeting is going on, people often share links and files via chat or even have side conversations. But there’s no perfect way to make meeting room chat easier.

Some video hardware vendors support built-in chat in their tabletop displays. An additional monitor on the wall could also display the meeting chat for participants in the room, but this does not allow them to participate fully. Participants can log into the meeting from their laptop in order to use chat, but this only complicates the way meetings are facilitated. Although this problem may not be easily solved with the design of the room, it should be kept in mind so that we at least know that the participants in the conference room might miss some information.

While the ideal hybrid conference room setup may not be feasible or achievable for most businesses, home offices have provided a roadmap. We’ve created an almost ideal video conferencing experience while sitting at our desktop computers. The more IT teams can render the meeting room experience like the home office experience, the better. If everyone has the same video, audio, and chat experience, we will have achieved true meeting equity.

Sligo Rovers vs Motherwell analysis

Sligo Rovers scored a sensational upset of Scottish Premiership side Motherwell at Fir Park last week as they set off on the road to beating the top 6 in Scotland.

Motherwell seeks redemption

West Ham United avoided a nightmare in Europa League qualification against Fiorentina in Serie A after the first seed.

The Hammers missed out on a second successive Europa League season when they lost to Brighton on the final day of last season.

David Moyes’ team must therefore be content with the Europa Conference League.

West Ham fully embraced and adored every minute of their European adventure last season which saw them all the way to the semi-finals.

A ‘gutted’ Declan Rice said after the heartbreak against Eintracht Frankfurt that he and his West Ham team-mates ‘wanted more’ European football.

The same goes for West Ham fans.

West Ham must now play a two-legged qualifier next month in order to make the Europa Conference League group stage a real success.

The play-off round features 10 teams and the draw will take place next Tuesday, August 2 at UEFA headquarters in Nyon, Switzerland, at 1pm UK time.

The home and away matches will be played on August 18 and 25.

The Conference League may be designed primarily to give some minnows from vastly lower leagues a taste of European football.

But there will also be heavy hitters from the top leagues, as last season’s semi-finals and final proved – between Roma and Feyenoord.

Not that West Ham can afford to be picky considering we haven’t won a major trophy since 1980.

West Ham will initially be drawn against two teams who will play each other over the next two weeks for the right to play them. Moyes and the boys won’t know exactly who they’ll be up against until Thursday, August 11.

But they know who they won’t be up against and that will be a big relief.

Because West Ham avoided a nightmare in Europa League qualification against Fiorentina after the Italian team’s first seed.

And it made big news in Italy where avoiding West Ham was seen as a major boost for La Viola (Soccer Italy).

Of course, West Ham would have no reason to fear Fiorentina given the level of opposition they face in the Premier League.

But playing the seventh-best team in Serie A would clearly not be Moyes’ wish in the qualifying phase.

La Viola needed Kazakhstan’s Astana out of the way to earn seeded status in the draw and they got their wish today as Astana fell to Polish club Racow.

This means that Fiorentina will not be paired with clubs like West Ham, FC Koln and OGC Nice.

Besides West Ham – at least on paper – Fiorentina and Villarreal are the strongest teams in the qualifying mix.

The draw will be divided into two parts, the “champions course” and the “main course”. The majority of teams, including West Ham, will play in the Main Path.

West Ham are one of four main lane teams guaranteed to be the seeded side of the draw, alongside Spanish side Villarreal, the losers of the Europa League qualifier of Partizan Belgrade against AEK Larnaca or Midtjylland, and the winner of Zorya Luhansk. Now all eyes are on next Tuesday’s draw – and Moyes will be greatly relieved that Fiorentina are the top seed.

West Ham will be without Declan Rice for both legs of qualification as he is serving a two-game ban while Moyes will also be out for the first leg as he is serving a one-game ban.

Where It Happens Matters: The Best Conference Room Designs to Help Your Hybrid Team Succeed

  • Today’s workers need conference rooms that adapt to their changing needs, useful spaces for both those in the office and those working remotely.

The job has changed. The office has changed. Now meeting rooms need to catch up.

Our workplaces are being asked to meet the new demands of today’s workers, and conference rooms are an important part of meeting those needs. NeoCon 2022, a commercial interior design convention, revealed some of the ways our meeting rooms are starting to evolve.

The boardroom hasn’t seen much innovation in the past 50 years; slide projectors were replaced by monitors, and then those monitors got taller and thinner. Cameras were added to connect a beige conference room to another conference room, just in a different building.

But the shape of these rooms has remained the same: rectangular and wide enough to comfortably accommodate an oval table in the shape of a racetrack usually surrounded by 8 to 12 chairs. These halls, historically, featured leather seating and were oversized to impress visitors.

The best of these spaces are usually accentuated by an undemocratic amount of natural building light along one wall and opaque glass on the other to tease any passer-by to the pleasure of having fun inside. If they don’t have a window, a photograph of Ansel Adams will suffice.

Now that workers have more choices about where to work, they’re increasingly asking the question posed by the cheeky coffee mugs everywhere: “Could this meeting have been an email?” A well-designed meeting room can turn that answer into a simpler “no”.

One of the most consistent trends emerging in meeting room design is the preparation for asymmetrical video meetings. Unsurprisingly, video (whether via Zoom, Skype, Teams, or whatever comes next) is here to stay. But what changes is who is home and who is back in the office.

The rooms featured at NeoCon were created to support the various combinations of here-alone, there, here-together, and there-together. These design considerations reflect how in-person attendees are oriented and how they face.

For example, place the video monitor on the long wall instead of behind the head of the table. Then, all participants should sit on the same side of the table, giving everyone in that room an equal presence on the screen. A wide angle includes everyone at once with no one in the back. It has even more impact if the software and monitor orientation are set up so that those in the video are of equal size and position to create the impression that everyone is sitting at a round table.

Meetings are often long sometimes too long in an uncomfortable chair. The posture we adopt when attending meetings will change in the future to support the different activities that may occur during a meeting. Sitting is the standard posture for meetings, but often creativity can be stimulated by movement. Standing or perching can help teams reflect and add energy to their creative process. It’s also easier for everyone on the team to share ideas visually if everyone is already on their feet.

Creating zones for this kind of creativity in the same space as a meeting can increase participation, speed, and quality of problem solving. Almost the opposite, taking a physical and metaphorical step back from an influx of information can help meeting participants absorb everything.

Often, a more relaxed posture, like sitting in a lower lounger, can be just the shift in energy needed to let the stellar ideas shine through. Creating these zones for ideation and thinking – while accommodating virtual team members – is the evolutionary challenge that will be met with technology and protocols.

All of these additional room reorientations and postures have one significant downside though: they take up more space, so the conference room has to expand. This is helped by two factors, however – both related to the pandemic.

First, the meetings were held in spaces initially thought to be intended to accommodate at least two to four times as many participants. Meeting attendees left chairs between them and did their best to socially distance while being required to be in a confined space. Anyone who has ever had to downsize their home or found themselves occupying an empty workstation next to them knows that free space is a void that fills up quickly and is very difficult to return later. . People are used to extra space for their meetings and won’t be happy to be asked to return to small boxes.

The other factor at play is that as the big return to the office unfolds, office spaces are adapting – mainly by allocating spaces originally intended for individual work (which can now be better accomplished from home) to more group spaces and meeting spaces. Workspaces created today and in the near future will surely have more meeting spaces with larger footprints.

This balance between in-person and remote will make it even more critical for project spaces to be able to continuously display key items and status throughout the duration of the project.

Therefore, dedicated project spaces will take up more and more space in new floor plans. Any number of team members can be in the space each day, and the visual display of all a project’s status and pending issues will help them navigate tasks quickly. the most pressing ones, as well as connecting with what everyone can work on.

Of course, NeoCon2022 also showed that we don’t abandon our factories when working collaboratively. Just as biophilia has made its way into other parts of the office environment, plants are also present in conference rooms. Confined spaces can benefit the most from adding plants, and finding ways to add these living elements to conference spaces becomes a priority.

Larger spaces, various new postures, dedicated project rooms, and greener spaces will all help answer the age-old question, “why do we meet?”

JACK ROSS has admitted Dundee United face a daunting Europa Conference League third round playoff.

The Tangerines will face either AZ Alkmaar or Bosnian side Tuzla City.

Alkmaar will be big favorites to progress and United will send scouts into the first leg between the teams this Thursday in the Netherlands.

United haven’t played in Europe since the 2012/13 season, when they were knocked out of the Europa League by Dynamo Moscow.

Alkmaar, by comparison, reached the round of 16 in the Conference League last season.

Ross said: “I think we knew we would face tough opposition because we didn’t have a seed.

“When you look at the caliber of the teams that are seeded and aiming to qualify for the group stage, the level is very high. And AZ are certainly a team with a strong European pedigree.

“Without a doubt, the advantage is that pulling a Dutch team is not too far away, between two Premiership matches.

“It’s also important to talk about what this draw does for the fans. If AZ progress from their tie, then that’s probably the best case scenario for them in terms of their number trip.

“So there is a potential for a very difficult draw but also a very good draw for the club and its supporters.

“It’s exciting to be part of the draw.

“For our supporters, it’s been several years since they’ve been to Europe and this opportunity to follow your club in Europe – especially for a team with such a strong European pedigree – is great.

“But it’s also about wanting to stay in this competition for as long as possible, no matter what caliber of opposition we face.”

United have only made three signings so far this summer.

Dylan Levitt, Steven Fletcher and Craig Sibbald added some much-needed depth to Ross’ team.

But the United boss is keen to bring in more bodies.

He said: “To tell the truth, we have a lot of work to do before this game, and it would have been the case no matter who we drew.

“It captured the imagination of the fans but, for me, first and foremost we have a pre-season to complete. It continues with Fleetwood on Saturday and then we have the league opener at Kilmarnock. I I’ll think about those.

“But whatever the draw, I think we have a bit of work to do to make sure we’re as strong as possible when the window closes at the end of August.

“We will have someone in Alkmaar on Thursday, which is really positive. It gives us the opportunity to see both teams in action, to be one step ahead of the advancing team. It’s much easier with the game taking place in the Netherlands at such short notice.
